SUMMARY
The Senior Manager of Facilities and Workplace Services position facilitates the efficient and cost-effective operations of the real estate team. The real estate team responsibilities are largely focused on Unidos Properties LLC. This includes RY building property management, security, mail services, conference services, and vendor management. The real estate team also supports UnidosUS facilities and workplace services within the RY building and at regional locations.
This is a crucial role that assists in creating a facility and workplace environment that promotes tenant/employee/visitor well-being, productivity, and engagement while ensuring safety and security. This position will report to the Deputy Vice President of Unidos Properties. Essential functions performed by the Senior Manager of Facilities and Workplace Services include but are not limited to the following:
- Manage UnidosUS facilities vendors, incoming work orders, and COIs.
- Manage RY conference center scheduling, license agreements, and related support services.
- Manage RY and other location emergency plans, floor warden program, and support Emergency Notification System team.
- Manage organization sustainability initiatives.
- Manage employee office and workstation moves and relocations, physical storage, and office and kitchen supplies.
- Manage duties assigned by DVP of Unidos Properties.
- Maintain the conference rooms keeping them tidy and ensure common work areas are clean and organized.
This position is hybrid and based in Washington, DC.
Salary: $87,146 to $98,348
Essential Functions
Facilities Management
- Perform facilities management function, ensuring the efficient and effective operation of all physical infrastructure and systems at RY building and other regional or field locations. This includes off-site events if necessary.
- Collaborate with internal and external stakeholders to assess facilities needs and implement appropriate solutions.
- Develop and maintain effective relationships with vendors and service providers to ensure timely and cost-effective delivery of facilities services.
- Collaborate with vendors to resolve issues, negotiate contracts, and optimize service delivery.
- Manage the monthly facilities meeting and develop reports benchmarking KPIs.
- Make recommendations for improvements and cost-saving measures.
- Ensure compliance with safety standards and regulations in all facilities-related activities.
Workplace Experience Management
- Create and maintain a workplace environment that enhances individual well-being, personal productivity, and organizational effectiveness. Manage UnidosUS Facilities work orders and facilitate solutions.
- Manage the workplace onboarding, food services, mail services, storage and archiving, kitchenette and office supply management, and furniture (and ADA) management.
- Manage partners to ensure seamless service delivery and exceptional customer support. Assist DVP in writing RFPs, vendor meetings, and evaluation of service delivery.
Conference Center Management:
- Manage conference center to provide an exceptional experience for participants (including security, furniture, HVAC, and janitorial).
- Control the scheduling of conference center rooms and coordinate meeting room setup details.
- Work closely with internal and external clients to understand their requirements and provide customized solutions.
- Demonstrate hospitality, retail, and exceptional customer service skills to enhance the meeting experience.
- Collaborate with IT teams to assess technology training needs and implement tools for conference center services.
- Communicate to UnidosUS conference event schedule.
Sustainability Management
- Manage sustainability initiatives and practices within the RY building.
- Identify and implement energy-efficient and eco-friendly solutions to minimize the environmental impact.
- Monitor and develop monthly reports on sustainability metrics, including energy consumption, waste management, and water usage.
- Collaborate with internal teams and external stakeholders to promote sustainability awareness and engage employees in sustainable practices.
- Stay updated on sustainability trends, regulations, and best practices to drive continuous improvement.
Security Management (includes mail/package services)
- Manage Datawatch Badging and LobbyWatch security programs.
- Manage Datawatch and Axis Security VideoWatch video surveillance program.
- Assist with the management of security contracts and services.
- Perform regular security assessments and audits to identify vulnerabilities and recommend appropriate actions.
- Organize and manage monthly security meetings.
- Manage UnidosUS mail services and manage package pickup through Security.
Emergency Management:
- Manage RY Building and other location emergency plans including floor coordinator (captain) program, fire drills, safety inspections, etc.
- Manage First Aid supplies, AEDs, and CPR training.
- Provide Facilities and Security function within Emergency Notification System when DVP is unavailable.
- Support program in field/region offices and offsite events.
- Coordinate as appropriate with HR.
Administration and Operations:
- Assist in the development and implementation of the annual budget(s) for the LLC, Facilities, and Workplace Services.
- Manage services to not exceed budget and account for budget variances.
- Ensure accurate and timely billing for conference center usage.
- Contribute to the business continuity plan and emergency response procedures.
- Assist in complex problem resolution to ensure frictionless employee experiences and their high levels of engagement, efficiency, and productivity.
Qualifications & Requirements
Education and Experience
- An associate degree or an equivalent combination of education, training, and relevant experience.
- A combination of at least 10 years of experience as a facilities manager, property manager, and/or seasoned administrator in a fast-paced and dynamic organization, along with systems knowledge for document management.
- Facilities Management Professional designation or enrollment in FMP program upon hire. Participation in IFMA Association and DC chapter upon hire.
- Desire and ability to work beyond normal business hours as necessary to do an excellent job. May require minimal travel to field/regional offices or offsite events. Does require attendance at contracted events in our conference center including after standard business hours.
- Ability to take after hours calls for facilities or security matters.
- Project management skills.
- Expert administrative skills.
- Strong grasp of accounting operations.
- Demonstrated experience with and knowledge of the Latino community.
Desired Qualifications
- Bilingual (English and Spanish) skills.
- Project management certification preferred.
- Familiarity with the U.S. Hispanic community, Hispanic nonprofit organizations, and the Hispanic market and consumer.
